TrackIt Life — Terms of Service
Version 3.2.0 — 24 September 2026
1. Who we are and what these terms cover
TrackIt Life is provided by A&C Digital Ltd, registered in England and Wales, company number 17064862, trading as TrackIt Life ("we", "us"). Contact: privacy@trackitlife.app; 124 City Road, London EC1V 2NX.
These terms are the agreement between you and us for your use of the TrackIt Life apps (Finance, Fitness, Diet, Grocery and the account area) and the public website. By creating an account, accepting an invitation to a household, or using the service, you agree to them. The version you accepted is recorded against your account.
Our Privacy Policy explains what we do with your data and our Cookie Policy explains what we store on your device. Both form part of these terms.
Together, these terms and those two policies are the whole agreement between you and us about the service.
TrackIt Life is a hosted service: we run the servers it operates on. You do not host, install or operate any part of it yourself.
2. Beta status
TrackIt Life is in beta. Sign-up may be open to everyone or by invitation at different times during the beta. That means:
- features may change, be withdrawn or behave unexpectedly, and we may need to take the service offline for maintenance. Where it is reasonably possible we will give you advance notice of planned maintenance; we cannot always do so for urgent work;
- we may reset, migrate or restructure data as we develop the platform, and will try to give notice and preserve your data when we do, but cannot guarantee it — you should keep your own copies of anything important, by exporting your data from Privacy Center;
- we may limit who can join, how many households we support and how much of any feature you can use (for example, AI generation quotas);
- your feedback helps us and we may contact you about your experience;
- we may end the beta, or move to a paid or differently structured service, on notice (sections 10 and 11).
Beta programme
TrackIt Life is currently in beta. During the beta:
- It's free. You will not be charged for using TrackIt Life during the beta period. We do not collect payment details.
- Your free beta period is confirmed when you join, and its end date is shown in the app from your first sign-in. We may extend it. You can ask for a 3-month extension in the last 30 days of your beta; extensions are reviewed by hand, up to 12 months in total, and any further extension is at A&C Digital's discretion. Once you have accepted these Terms we will never shorten it.
- 60 days' notice before anything changes. If we introduce a fee, or end the beta, we will tell you at least 60 days beforehand, both by email and inside the app.
- Nothing converts automatically. If we introduce a paid plan, you choose whether to subscribe. We will never charge you without you actively signing up and providing payment details.
- If you choose not to subscribe, your account moves to read-only: you can still sign in, view your data and export it, but not add to it. Your data is then kept and deleted according to our Privacy Policy.
- Things may change. Features may be added, altered or removed during the beta, and the service may occasionally be unavailable. We will always give you a way to export your data.
- Everything we release during the beta is part of it. Any app, tool or feature we add to TrackIt Life while the beta is running — including tools inside the login area — is covered by these beta terms on the same basis: free, subject to change, and with the same notice before any fee.
3. Eligibility and your account
- You must be at least 16 years old to hold an account. You confirm this when you create the account, and every account holder confirms it once inside the app when accepting these Terms or acknowledging the Privacy Policy; we keep a record of that confirmation against your user. We do not verify your age and we do not ask for your date of birth. The Fitness app additionally will not accept a profile age below 16. Details about children can still be recorded in the Diet app by an adult account holder, as third-party information — see section 5.2 and the Privacy Policy section 5.4.
- You must give accurate registration details and keep them up to date.
- One person, one account. Households are covered in section 5.
- You are responsible for everything done under your account. Tell us at once at privacy@trackitlife.app if you think it has been accessed without your permission.
4. The service is a tool, not advice
TrackIt Life helps you record, organise and understand information about your household's money, food, shopping and fitness. It does not give financial, investment, tax, legal, medical, nutritional or dietary advice, and nothing it displays is a recommendation to do anything.
In particular:
- Financial figures, projections, insights and budget templates are calculations and summaries based on the data you enter and on statements you upload. They can be wrong because the input was incomplete, because a statement was misread, or because a categorisation was mistaken. They are not a substitute for a financial adviser, accountant or your bank's records.
- Meal plans, recipes and dietary suggestions are generated from the preferences and allergies you record. We do not verify them against your allergies or medical needs. A generated plan can include an ingredient you or a household member must not eat. Check every plan and recipe yourself before relying on it, and consult a doctor or dietitian for anything health-related.
- Fitness plans, coaching suggestions and imported workout data are not medical guidance. Consult a professional before starting or changing an exercise programme, especially if you have a health condition or injury.
- AI-generated content — transaction categorisations, merchant research, receipt readings, statement parsing, insights, meal plans, dish tags and coaching suggestions — is produced by an automated model and may be inaccurate, incomplete or made up. You are responsible for checking it and for any decision you make on the basis of it.
5. Households
5.1 How households work
An account is a household. The person who creates it is the owner. The owner can invite others by email to join as Admin, Editor or Viewer; the Privacy Policy (section 3) explains what each role can do and see. Household data — finances, receipts, shopping lists, meal plans and the household diet profile — is shared among members according to their roles.
5.2 Owner responsibilities
If you are the owner you are responsible for:
- who you invite. Only invite people you are entitled to share the household's financial and dietary information with, and who are entitled to see it. You are inviting them to see the household's finances.
- information about other people. If you enter details about a child, or about another adult in your household who does not have an account — the Diet app records ages, allergies and dietary requirements for this purpose, and no names — you confirm that you are entitled to do so and that you have told them (or, for a child, are responsible for them). A child's age and the household's dietary requirements and allergies are sent to our AI provider to generate meal plans; the Privacy Policy explains exactly what is sent.
- keeping allergy information accurate. Allergy entries are used to constrain generated meal plans. You are responsible for keeping them correct and for checking generated plans against them (section 4).
- removing members who should no longer have access, promptly.
- the household's data as a whole, including deciding when to delete the account (section 9), which deletes every member's household data.
5.3 Members
If you join a household you accept that the owner and other members can see the household's shared data according to their roles, that the owner can download an export that includes your user record and your Fitness data (Privacy Policy 3.3), and that the owner can remove you and can delete the whole account. Your own individual data-protection rights are unaffected and you can exercise them yourself (Privacy Policy section 11).
5.4 Removal from a household
When you are removed, your access ends immediately, your logged-in sessions are closed, and you are emailed. Your contributions to the household's data (expenses, receipts, lists and so on) stay with the household; they are not yours to take and are not deleted. Your user record is kept so that you can be re-invited later. You can ask us to delete it.
6. Acceptable use
You must not:
- use the service for anything unlawful, or enter data you have no right to enter;
- upload anyone else's financial documents, receipts or health information without their permission;
- try to access another household's data, another user's account, or our staff systems;
- probe, scan, overload or interfere with the service, or bypass rate limits, consent gates or access controls;
- reverse-engineer, copy, resell or offer the service to others;
- use the AI features to generate content that is abusive, unlawful or intended to harm anyone;
- share grocery share links or report links with people you do not want to see the content (section 8);
- register more than one account for yourself, or register on behalf of someone else without authority.
7. Account security, MFA and your vault passphrase
- Keep your password private and choose one you don't use elsewhere. We store only a hash of it and cannot tell you what it is.
- Multi-factor authentication is available in your account settings. We strongly recommend enabling it. Keep your recovery codes somewhere safe; each can be used once.
- Your vault passphrase is yours alone. Financial amounts are encrypted in your browser with a key that is protected by a passphrase you choose. We hold only a passphrase-locked copy of that key, so that you can unlock the vault on a new device. We cannot unlock it, reset it or recover it. If you lose your passphrase, your encrypted financial figures cannot be recovered by anyone, including us. There is no downloadable key file to keep — what you must keep safe is the passphrase itself.
- Your session automatically logs out after a period of inactivity, and the vault automatically locks after a period you choose. These are security controls; do not disable them on shared devices.
- On a shared or public device, sign out when you finish. The Finance app holds your usable vault key only for the open tab, and clears it when the tab closes, the vault locks or you sign out. Earlier versions could also leave a usable copy in the browser's local storage, and locking the vault does not remove that copy — signing out does, and so does clearing this site's data. The Cookie Policy names both and says exactly when each is cleared.
8. Sharing features
- Grocery list share links can be sent by message or shown as a QR code. Anyone who has the link can view the list without logging in, and if you enabled it, can tick items off. Every link expires: 72 hours after it is created unless you choose a different lifetime when you create it, and never later than 30 days. Treat it like the list itself.
- Shared reports are PDF reports made available at a link that expires at the time you set. Anyone with the link can open it until then.
- Library contributions. If you choose to contribute a workout or meal plan to the shared library, other users may see it. Contribution is controlled by a separate consent switch.
9. Deleting your account, and what happens to data
Owner. You can request deletion of the whole account from Privacy Center. There is a 30-day grace period during which you can cancel. After that, deletion runs automatically and removes the account, all users who are current members, the household and all household data — every app, including all of the Finance app's records and all of your vault key material, so that nothing capable of decrypting an encrypted figure is left with us. The Privacy Policy (section 10) lists exactly what is removed and the small set of records that remain.
Members. A member who is not the owner can ask for their own user record to be deleted; we action this manually within one month. This does not delete household data, which belongs to the household.
Before you delete, download your export from Privacy Center if you want to keep your data, and make sure you still have your vault passphrase: the financial figures in an export are ciphertext, and after the deletion has run we hold nothing that could decrypt them. Once deletion has run it cannot be undone.
10. Fees
TrackIt Life is currently free of charge. We may introduce fees for some or all of the service in future. If we do, we will give you at least 60 days' notice by email and in the app, tell you what will be charged and what stays free, and you will be able to export your data and close your account before any charge applies. We will never charge you without your agreement.
11. Suspension, termination and changes
- You can stop using the service at any time and delete your account (section 9).
- We may suspend or restrict an account, or remove a member, if we reasonably believe these terms have been broken, if required by law, or to protect the service or other users. We will tell you why unless the law prevents it, and give you a chance to respond where that is reasonable. A suspended account stops serving data immediately and every member is emailed.
- We may end the beta or discontinue the service on at least 60 days' notice, during which you can export your data.
- We may change these terms. We will give you at least 60 days' notice by email before a change takes effect; continuing to use the service after that date means you accept it. Where you have accepted a new version, that is recorded against your account.
- If your account closes, or the service ends, the parts of these terms that are meant to outlast it carry on applying — in particular section 12 (our responsibility to you) and section 15 (governing law and disputes). Anything that has already happened between us is still covered by these terms.
12. Our responsibility to you
We provide the service with reasonable care and skill, as consumer law requires. Because the service is in beta and free, we cannot promise it will be uninterrupted, error-free or that data will never be lost or corrupted — which is why section 2 asks you to keep your own copies.
To the extent permitted by the law of England and Wales:
- we are not liable for losses that arise from decisions you make on the basis of figures, insights, plans or other content the service displays (section 4);
- we are not liable for loss of encrypted financial data caused by a lost or forgotten vault passphrase (section 7);
- we are not liable for loss caused by your sharing of links, invitations or credentials (sections 5, 7 and 8);
- we are not liable for problems caused by your internet connection, your device or your browser, or by a failure at one of the providers we rely on to run the service (for example hosting, connectivity or content delivery) — except where the law makes us responsible for them;
- we are not liable for indirect losses, loss of profit or loss of business, or for losses that were not a foreseeable result of our breaking these terms;
- our total liability to you in connection with the service is limited to the greater of (a) the fees you have paid us in the 12 months before the claim arose and (b) £100.
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, for breach of your statutory consumer rights, or for anything else that cannot lawfully be limited.
13. Your consumer rights
If you are a consumer in the UK, nothing in these terms affects your legal rights, including under the Consumer Rights Act 2015. If any part of these terms is found to be unfair or unenforceable, the rest still applies.
14. Intellectual property
The service, its software, design and content belong to A&C Digital Ltd or our licensors. You keep all rights in the data you enter and upload. You give us permission to store and process it as needed to provide the service, as described in the Privacy Policy, and nothing more.
15. Governing law and disputes
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction — except that if you live in Scotland or Northern Ireland you may bring proceedings in your local courts.
Please talk to us first. If something has gone wrong, contact us at privacy@trackitlife.app and give us 30 days to put it right. We will work with you in good faith to sort it out. This is a request, not a condition: it does not take away any of your legal rights, it does not stop time running on any legal deadline, and you can go to court at any point if you would rather, or if we cannot agree.
